Acceptable Use Of AI in Job Applications

At Plymouth Marine Laboratory (PML), we recognise the growing role of AI tools, such as ChatGPT and other generative AI, in many areas of life, including job applications. As an organisation actively investing in digital skills, including AI and machine learning, we appreciate the value these technologies bring, particularly in the future of marine science.

However, when it comes to applying for a role with us, it’s important that your application reflects your skills, experience and tone of voice. While AI can be a helpful support tool, for example, in checking spelling and grammar or helping you organise your thoughts, it shouldn’t do the thinking or writing for you. What truly makes an application stand out is authenticity. We’re looking to understand your unique experiences, achievements, and perspective – not what AI assumes we want to hear.

This guidance is intended to help you use AI tools appropriately when preparing your application. Using AI outside of these boundaries may negatively affect your chances of progressing in the recruitment process.

Using AI in Your Application

Acceptable uses:

  • Organise and structure your own ideas clearly (e.g., using frameworks like STAR)
  • Developing examples that demonstrate your skills
  • Research PML and/or the department to better understand the role and culture
  • Explore current industry or sector trends to relate them to your experiences
  • Check spelling or grammar (though it’s important to review suggestions and language critically)

Remember to:

  • Ensure everything you submit is true and personal to you
  • Be prepared to discuss anything you’ve written during an interview
  • Make sure your supporting statements reflect your real experiences
  • Sound like yourself, not like a generic or overly polished response

Please avoid:

  • Copying and pasting AI-generated content without editing or personalisation
  • Using AI to create an overly polished or unnatural tone – we want to hear your voice
  • Making up skills or experiences you haven’t had
  • Entering sensitive personal or professional data into AI tools
  • Using AI as a substitute for your own reflection on the role or your suitability

Keep in mind:

  • Over-reliance on AI can lead to inauthentic applications, which are usually easy to spot and this becomes even more apparent during interviews.
  • The strongest applications are honest, personal, and demonstrate a clear understanding of the role.
  • Recruiting managers may use tools to establish if AI has been used to support the job application.

Using AI When Preparing for Interviews

Your experiences, perspective and personality are what set you apart. Be yourself and share your genuine strengths and career journey. While AI can help you prepare, it should not replace your own thinking and creativity.

Acceptable uses:

  • Generating practice interview questions based on the job description
  • Researching background information about PML and current industry trends
  • Getting feedback on how you communicate your strengths
  • Building confidence in how you present your experience

Please avoid:

  • Rehearsing scripted responses that sound artificial or inauthentic
  • Attempting to use AI tools during the actual interview
  • Preparing answers based on made-up examples rather than real experiences
